Orbis Research Platform – Privacy Policy

1. Introduction
This Privacy Policy explains how Agentic Assets, LLC ("Agentic Assets", "we", "us", or "our") collects, uses, discloses, and protects information about you when you use the Orbis AI research platform, including its website, applications, and related services (collectively, the "Platform").
By using Orbis, you agree to the practices described in this Privacy Policy. If you do not agree with this Policy, you should not access or use the Platform.
2. Scope and Relationship to the Terms and Conditions
This Privacy Policy applies to information we collect about users of the Platform, including account holders, trial users, and institutional users.
This Privacy Policy supplements the Orbis Platform Terms and Conditions (the "Terms"). In case of a conflict between this Privacy Policy and the Terms, the Terms govern your use of the Platform, while this Privacy Policy governs how we handle your personal information.

4. Information We Collect

4.1 Account and Subscription Information
- Identification and contact details, such as your name, email address, institutional affiliation, and similar information you provide when registering for an account or updating your profile.
- Subscription and billing information, such as the type of subscription plan, billing address, and limited payment-related information. Payment card details are processed by our third-party payment processors and are not stored in full by us.
4.2 Usage Data and Technical Information
- Log and usage information about how you access and use the Platform, including access dates and times, pages viewed, features used, approximate location based on IP address, device identifiers, and other system-level information.
- Information about your interactions with Orbis features, such as the types of queries you make, clickstream data, performance metrics, error reports, and diagnostic information.
4.3 User Content and AI-Generated Content
- "User Content" includes the prompts, questions, instructions, documents, or other materials you upload or input into Orbis.
- "AI-Generated Content" includes the outputs produced by Orbis in response to your queries, such as summaries, answers, analyses, and reports.
We store your User Content and associated AI-Generated Content as part of your user history so that you can review and reuse prior sessions and so that we can operate and improve the Platform. We do not publicly display your raw prompts or uploaded content to other users, and we do not sell your User Content to third parties.
4.4 Communications
If you contact us (for example, for support, feedback, or account questions), we collect the content of your communications and any contact details you provide.
4.5 Information from Third Parties
If you access Orbis through an institutional subscription or single sign-on, we may receive limited information from your institution or authentication provider (such as your name, email address, or affiliation) to enable and manage your access.
5. How We Use Your Information
We use the information described above for the following purposes:
- Providing and operating the Platform, including authenticating you, delivering content, processing subscriptions and payments, and maintaining your user history.
- Improving and developing the Platform, including monitoring performance, analyzing usage patterns, troubleshooting issues, enhancing our AI models, and adding new features. We may use User Content and AI-Generated Content in aggregated or de-identified form to improve Orbis.
- Personalizing your experience, such as tailoring content, remembering your preferences, and suggesting relevant features or workflows.
- Communicating with you, including sending administrative messages about your account or subscription, responding to inquiries, and providing updates about service changes or security notices. We will not use personally identifiable information from your prompts for marketing purposes without your consent.
- Ensuring security and preventing misuse of the Platform, including detecting, preventing, and responding to fraud, abuse, security incidents, and other harmful activity.
- Complying with legal obligations, resolving disputes, enforcing our Terms, and protecting the rights, property, and safety of Agentic Assets, our users, and others.
6. Legal Bases for Processing (EEA/UK and Similar Jurisdictions)
Where applicable data protection laws require a legal basis for processing your personal information (for example, in the European Economic Area, the United Kingdom, and similar jurisdictions), we rely on the following legal bases:
- Contractual necessity: to provide the Platform and fulfill our contract with you (for example, to create and manage your account and deliver the services you subscribe to).
- Legitimate interests: to operate, secure, and improve the Platform, to communicate with you about non-marketing matters, and to protect our rights, subject to your rights and interests.
- Legal obligations: to comply with applicable laws, regulations, and legal processes.
- Consent: where required by law, for example for certain marketing communications or optional cookies. You may withdraw your consent at any time, without affecting the lawfulness of processing before withdrawal.
7. How We Share Your Information
We do not sell your personal information or your User Content. We may share information in the following limited circumstances:
- Service providers and subprocessors: with trusted third-party vendors who perform services on our behalf, such as hosting, infrastructure, analytics, customer support, and payment processing. These providers are bound by contractual obligations to protect your information and use it only for the services they provide to us.
- Institutional subscribers: if you access Orbis through an institution (for example, a university or firm), we may share limited information with that institution as needed to administer your access, comply with institutional policies, or provide usage reporting in aggregated or de-identified form.

We do not share the content of your specific research queries or prompts with other users, and we do not make them public.
8. International Data Transfers
Orbis is operated from the United States, and your information may be stored and processed in the U.S. and other countries where we or our service providers maintain facilities.
If you are located outside the United States, note that data protection laws in these jurisdictions may differ from those in your home country. Where required by applicable law, we implement appropriate safeguards (such as contractual protections) to ensure that any international transfers of personal information provide adequate protection.
9. Data Retention
We retain personal information for as long as necessary to provide the Platform, manage our relationship with you, and fulfil the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law (for example, for tax, accounting, fraud prevention, or legal compliance purposes).

14. Changes to this Privacy Policy
